Please, read the e-mail below from Syma Zerkow regarding
Harris County Public Libraries.

Good Morning,

On Friday, November 16, all of HCPL’s servers will be moved to ITC  at 406 Caroline. This means that our entire system will be down. We hope to have the circulation system(check in and checkout of library materials) up by Monday , with Internet access, etc. to follow.  There will be no email access  to or from the HCPL Administrative Offices after about 2:00 PM on Friday.  I am not sure when we will have access, but we  are hopeful that we will be back to normal by Wednesday, November 21.

We have information on  the website and signage in all our branches.

Display Case Responsibilities for the SCE Staff

November 2012 Debra Davis

December 2012 Jacquina Sowell

January 2013 Michelle King

February 2013 Maurina Powers

March 2013 Minnie Jackson

April 2013 AritEdna Ekpro

May 2013 Franklin Smith

June 2013 Jacquina Sowell

July 2013 Debra Davis

If you are responsible for the display you “May” decorate the Brown Board area (over the YA collection) and the center aisle of the building as desired but you “Must” decorate the display case.

Please, think about your display before your turn to present. Staff members can trade months with the Manager’s approval. No one is asked to do more than their creativity will allow them to conceive. No items need to be purchased only library materials are expected to be used. Staff members can assist each other if desired. The goal is to keep the display case fresh with new themes monthly.

Please, remove your displays promptly at the end of each month so that the new displays can be done by the 1st of each month.

Thank you for your time and consideration in this matter,

Maurina

FLIP Kit Return Policy Update from Fred Schumacker

Hello all.

This is just a reminder that you should check each returned FLIP Kit to ensure that the book belonging to it is returned in good condition.  The book is considered the essential component of the FLIP Kit, and customers who do not return the book or who return it damaged should be assessed the replacement cost recorded in the Millennium system.  Please remember to check each returned FLIP Kit to make sure it includes the book before checking the item in.  If/when you need to charge a customer for a FLIP Kit book’s replacement, be sure you contact the customer with the information and note the conversation in the customer record.

If you have any questions or concerns, please contact the Circulation Administration Department (832-393-2222 – option 3) or your local LA Supervisor for assistance.

Thanks.
Fred Schumacher

Staff Shelf Reading Assignments

Hello Everyone,

Please, make note of the new shelf-reading assignments for the staff. Everyone will be expected to complete shelf-reading for their area at least three times a week and everyone will also be responsible for “facing” their area.

You will also be considered the back-up for shelving that section if the person that regularly shelves that section is not here.

The Shelf-Reading Assignments are as follows:

JS - All YA bks. and Juv. Paperbacks

      Shelf 1-A/B and 2-A/B

DD - All Board Books

         Shelf 4-A/B AND 5-A/B

FS - Picture Books (A-L)

        Shelf 3-A/B and 6-A/B

AE - Picture Books (M-Z)

         10-A/B and 11-A/B

MP - All Adult Paperbacks

          7-A/B, 8-A/B, 9-A/B

         Testing Guides

Remember shelf-reading and shelving are different. SCE’s part-timers will still shelve books but we will all shelf-read on a regular basis.

Thank you for your time and consideration in this matter,
Maurina

Books in Bad Condition

Hello Everyone,

Please, read the e-mails below from Lin Swalley, Coordinator of Collection development regarding books that need to be weeded.

Hi.  This is yet another request that you OPEN the books you are planning to use to fill holds, and/or send to other branches for whatever reason.  Please open them and assess their condition before sending them.  Recently, a number of branches have sent Collection Development samples of books that they received to fill holds—books with pages missing or falling, glued together with “we’re-not-quite-sure”, and etc.

Most of the books will be in fine shape, and needless to say, the more you weed those materials you DO find in bad condition, the fewer you will find.  But it is clear that some members of our staff continue to send materials sight unseen.  Please be considerate of our customers, of the receiving location staff, and, last but just as important, the Delivery staff working so hard to carry these items.

Please ensure all of your staff are made aware of this issue and of their authority to automatically weed materials in bad, bad condition.  Earlier this year, Collection Development shared with you information regarding what constitutes “bad condition”.  I am attaching that description to this email.

Thank you for your attention.
Lin Swalley

Hello Lin,

What should we do when a hold item is in poor condition and it’s the only copy in the system?  That has come up in the past, and since it was the only copy we sent it on to fulfill the hold.

Thanks,

Carol H. Rico, Assistant Manager

Oak Forest/Acres Homes Neighborhood Libraries

Lin's reply:

I guess it depends on just how bad of condition it is in.  If you are willing to handle it, i.e., it doesn’t gross you out, then the next question is whether the customer will want to handle it—will the customer prefer the book in bad condition as opposed to having to wait for an ILL request, which is what I would place on behalf of the customer,  if it was in too bad of condition for me and/or the customer to handle it. If the customer chooses to borrow it, be sure to make an entry in the customer’s record, so he/she isn’t charged for damaging the material and, assuming staff are paying attention, the material itself should be discarded the minute it gets back.  Of course, if staff is not paying attention, it will go back on the shelf and it will all have to be addressed again with the next customer.
